A whole-house rental can provide bedrooms, a kitchen, outdoor space and privacy that a hotel room cannot. Yet listing capacity and attractive photographs do not explain who shares the grounds, how guests will sleep, whether an event is allowed or what the quoted rate includes. Those details should be settled before a deposit is paid.

Match the property to the purpose of the stay

A family holiday needs practical sleeping arrangements, bathrooms, cooking facilities and temperature control. A daytime gathering depends more on seating, parking, outdoor areas and visitor rules. If a celebration is planned, disclose attendance, music, end time and outside suppliers. A house that permits overnight stays does not automatically permit events.

Verify privacy and exclusive use

Ask whether the entire house, garden, pool and entrance are exclusive to your group. The host, staff or other guests may occupy another building on the same grounds. Clarify shared facilities, locked rooms, staff access and the location of any exterior surveillance.

Turn capacity into a room plan

Request bedrooms, bed types and bathrooms rather than relying on “sleeps 12.” Separate beds, double beds, sofa beds and floor mattresses offer different comfort. Consider stairs, bathroom access and door widths when a guest has mobility needs.

Inspect the amenities that drive the booking

For a pool, sauna or hot tub, confirm private use, operating dates, inclusion in the price and any promised heating. Ask about pool depth, access and child rules. Children need responsible adult supervision regardless of what safety features are present.

For the kitchen, confirm the actual appliances, cookware, tableware, refrigerator capacity and dining seats. Establish what is supplied for a barbecue and where it may be used. Never move combustion equipment indoors or into an unsuitable enclosure.

Heating, cooling, water and internet

Ask which rooms are heated or cooled and whether guests control the settings. One air conditioner or a fireplace may not serve every bedroom. A large group should understand hot-water arrangements. If internet is essential for work, ask about coverage in the intended workspace and keep an independent backup for critical calls.

Where children, older guests or people with reduced mobility are travelling, request practical information about steps, rails, entrance surfaces, bedroom floors and bathroom access. “Accessible” and “family-friendly” are not substitutes for dimensions or a current video of the route through the property.

Make sure the photographs belong to the booked house

A host may manage several properties, so confirm that every important image shows the exact house and facilities being offered for your dates. Ask for current views of bedrooms, bathrooms, kitchen equipment and outdoor areas when the listing leaves gaps. Seasonal furniture, pool covers and decorative setups may change.

Obtain enough location information before payment to understand access and surroundings, then collect the full address and arrival directions after confirmation. If shops, transport or other services matter to the group, ask about them directly rather than inferring convenience from a broad map area.

Cars, pets and visitors

Confirm the actual number and size of parking spaces, gate access and whether cars block one another. Pet permission should identify the animal, indoor restrictions, fencing and any cleaning charge. Visitor limits and quiet hours matter even when only some attendees stay overnight.

Read the price as a package

The rate may change with dates, occupancy, events and optional facilities. Ask whether linen, towels, final cleaning, heating, pool use, sauna, firewood and other consumables are included. Record the deposit, balance, security deposit, extra-person charge, late checkout and damage terms.

A security deposit needs stated deduction reasons and a return process. Photograph pre-existing damage at check-in and notify the host immediately. For a large property, check keys, controls and listed equipment at both arrival and departure.

Check-in and cancellation

Confirm arrival and departure times, key handover and an on-site contact. Cancellation terms should address refunds, date changes and host cancellation. If a pool or another central feature determines your booking, agree what happens if it is unavailable.

Create one written booking summary

Before payment, record dates, overnight and daytime guest counts, purpose, total price, deposits, included amenities, house rules and cancellation terms. Request current photographs or a video viewing when the listing does not show present condition. Keep payment evidence and the agreed summary.

Do not rely on a payment request that cannot be connected clearly to the host, property and written booking. At arrival, ask whom to contact for water, power, heating or appliance faults and where the ordinary emergency shutoffs are. Guests should report a fault rather than dismantling unfamiliar equipment.
